Policies and Procedures


Reservations

Certain restrictions may apply to monthly rentals between November and March. Please call the reservation department for this information before making a decision to book your monthly reservation. Some properties are restricted to a minimum number of days for weekly/daily rentals. All reservations for a 7-night stay include the 7th night free. Please call 800-423-GULF to make reservations 1 year in advance.


Payments/Fees

A booking deposit of $200.00 plus a $30.00 nonrefundable reservation processing fee are due at time reservation is booked. The $200.00 booking deposit will be applied to the rental amount upon arrival. Payment of balance owed is due 14 days in advance of your arrival date. Some condominiums require an access fee or parking fee. Taxes are based on local and state lodging rates. Housekeeping service fees are taxable as well as some additional services. A valid credit card must be on file to book a reservation. Money order, Visa, MasterCard, and American Express are accepted forms of payment. Checks are not an accepted form of payment.


Accidental Damage Waiver

An Accidental Damage Waiver fee of $45.00 is included in each reservation and covers you and your vacation party for up to $1,500.00 of reported accidental property damage. This program provides our guests with peace of mind and allows us to address necessary replacement/repair issues in a timely and efficient manner. Intentional damages or those in excess of $1,500 are the responsibility of the registered guest.

Trip Insurance

We encourage you to consider purchasing Travel Protection Insurance to protect your vacation investment. Please ask our reservation personnel for detail information on this valuable program.

Cancellation

In the unfortunate event you must cancel your reservation, the $30.00 non-refundable processing fee, along with a $30.00 cancellation fee, will be deducted from your refund. Cancellations must be made 15 days prior to arrival for short term rentals, and 90 days prior to arrival for monthly rentals in order to receive a deposit refund, less the above applicable charges. Cancellations not meeting the above criteria will be subject to loss of the full required deposit of $230.00. Guests are responsible for payment of all nights reserved, regardless of actual arrival and departure date. There are no refunds for late arrival or early departure.

Check-In

Your check-in location will depend upon the location of the accommodation you select.

If you have a reservation at Seaside Beach and Racquet Club, you will check-in at our on-site office located at 24522 Perdido Beach Blvd. in Orange Beach. If you have selected one of our other rental properties, you will check-in at our main office located at 25437 Perdido Beach Blvd. in Orange Beach. Please refer to enclosed map for check in location. A map is attached for your convenience.

Check-in time is between 3:00 and 5:00 p.m. on the scheduled arrival date. Please notify us if you plan to arrive after 5:00 p.m. so we can make arrangements for late check-in. For late arrivals, you can pick up your accommodations packet with keys and parking pass at the office designated above. Please report to the same office where you picked up your key packet the following business day to formally check-in.

Check-Out

Check-out time is 11:00 a.m. on departure date. Upon departure, please dispose of all food and trash. Leave property reasonably clean. The kitchen must be clean and all dishes, pots and pans washed and put away, and refrigerator empty of food. Lock all doors and windows and return keys to office.

Keys

Two keys per rental property will be issued to rental guests. In the event keys are misplaced or lost there is a fee of $65.00. If you become locked out, it is our pleasure to assist you; however, if this occurs after business hours a charge of $25.00 will be processed to your folio for payment.

Furnishing

All vacation properties are privately owned and decorated. Color, style, décor and furnishings vary from one property to the next. To assist in meeting your expectations, please visit our booking page to view pictures of the property selected.

Maintenance

We make every effort to keep each property and its equipment in good working order. Please report any malfunctioning equipment or damage as soon as possible. Every effort will be made to correct the situation as quickly as possible. Repairmen may enter the premises during business hours for purposes connected with repair, care or maintenance of the rental property.

Occupancy

A start up supply of towels and linens are furnished for each property. We highly recommend you consider bringing additional supplies to meet your individual needs. Additional towel packages can be purchased for a nominal fee during your stay. The number of guests, including children, is limited to the sleeping capacity of the property and is enforced according to local Fire Department codes. Persons checking in must be the same individual as named on the reservation. Guests under the age of 25 must have direct adult supervision at all times when on rental premises. Absolutely no property will be rented to anyone under the age of 25. Any reservations obtained under false pretense may be subject to loss of deposit, rent and immediate tenant eviction. Loud parties, loud gatherings or illegal activities are not permitted. All rules and regulations of the property will be enforced.

Property Assignments and Substitution

It is our goal to satisfy every request for a specific property or location. If a property becomes unavailable or out of order, we reserve the right to substitute similar accommodations without notice or liability for any reason.

Management

All rental properties are individually and privately owned. Four Seasons Resort Management reserves the right to refuse service to anyone and will not be responsible for accidents or injury to guests or for loss of money or valuables of any kind. Rates, descriptions and availability are subject to change without notice.

Common Area Facilities

The common areas for condominium facilities (walkways, steps, pools, parking areas, etc.) are maintained by the Condominium Association. If you find any of these areas unacceptable or inoperable please notify us immediately so we can notify the proper management to resolve the issue.

Grilling

Many complexes offer outdoor grilling facilities.Please follow all rules and regulations posted. Fire regulations prohibit use of charcoal or gas grills on decks, porches or balconies.

Telephone

Local calls are permitted. Long distance calls are restricted. A calling card account will be necessary to access a long distance carrier. All 800 calls are acceptable.

Parking

Parking at most locations is limited. Many complexes have strict regulations as to the number of vehicles allowed per property and will only allow a maximum of 2 cars per property. Please follow all posted rules and regulations for parking. Some properties require parking pass and or access fees. We apologize but due to limited space boats, RVs, jet skis or trailers of any kind are strictly prohibited in condominium parking areas. We would be happy to assist you in finding storage while you are visiting us.

Pet Policy

We love pets as much as anyone; however, pets are not allowed in or on any vacation property. Any evidence of a pet found during stay will result in immediate eviction and a forfeiture of rent will occur and/or assessment for damages and cleaning.

Showing of Units for Sale

We reserve the right to allow qualified sales agents to show property for sale to qualified buyers. We will make every effort to schedule the showing at a convenient time and do our best not to interrupt your vacation.

Any violations of rules and regulations may result in eviction and forfeiture of rent. Damages that require repairs or additional cleaning will be charged to your credit card.
